At Genetech Solutions, we work with organizations across industries including healthcare, fintech, enterprise operations, education, and digital transformation initiatives. While every client operates differently, one challenge continues to appear across sectors: information exists everywhere, but turning that information into usable data remains slow, manual, and difficult to scale.
Whether it is customer onboarding, document verification, community data collection, administrative records, or operational workflows, organizations continue to depend on forms, scanned documents, and handwritten information to make decisions. As businesses grow and processes become more complex, traditional documentation methods often become barriers instead of enablers.
Recognizing this recurring challenge, Genetech Solutions developed an AI-powered OCR (Optical Character Recognition) workflow designed to transform unstructured documents into structured digital information, making document-heavy operations faster, more accessible, and easier to manage at scale.

When Documentation Becomes an Operational Bottleneck
Documentation plays a critical role across industries, but managing it manually creates hidden inefficiencies.
Organizations spend significant time reviewing forms, entering data, validating records, and transferring information into systems. These repetitive processes slow decision-making, increase operational costs, and create unnecessary dependency on human effort.
The numbers make this hard to ignore:
- It takes a clerk an average of 12–15 minutes to manually process a single document: data entry, verification, routing, and filing included.
- Manual document handling accounts for 20–30% of total operational costs in finance-heavy industries like banking and insurance.
- Organizations lose an average of 60–70% of document processing time to steps that add no value: re-keying data that already exists, chasing approvals, and fixing avoidable errors.
And some organizations face challenges when the people submitting information are elderly, less familiar with technology, or simply not near a computer, the problem compounds further excluding the very people the system was designed to serve. This raises bottleneck that were needed to be sorted such that:
What happens when users cannot complete online forms? What if communities include elderly populations or people who are less comfortable with digital platforms?
How Genetech’s OCR System Works
Genetech Solutions solved an accessibility challenge with an AI-powered OCR workflow. Instead of asking users to adapt to technology, the solution adapts to the way people already interact with documents. Physical and scanned forms are transformed into clean, structured digital data that can be stored, searched, verified, and integrated directly into existing systems eliminating the need for manual re-entry.
The process follows four stages:
Upload & Validation
Documents are uploaded in PDF, PNG, or scanned image format. The system checks the file before processing begins..
Document Preparation
Pages are converted into a format ready for analysis. PDFs are broken into individual images; scanned files are cleaned and standardised.
AI-Powered Extraction
The OCR engine reads the document and pulls out the relevant information: printed text, handwritten responses, structured fields, and semi-structured layouts.
Workflow Integration
Extracted data is mapped directly into the client’s configured workflows: signup forms, dynamic forms, registration databases, or operational records, with no manual copying required.

The Global Community Census
Why the Census Was Launched
One of Genetech Solutions' clients, an international community organization, set out to gain a deeper understanding of its globally distributed members. To better plan future initiatives, allocate resources effectively, and deliver more meaningful community services, the organization needed accurate and up-to-date information about who its members were, where they lived, and what support they required.
To achieve this, the organization launched a global census initiative built around detailed, dynamic questionnaires designed to capture structured information from a diverse member base.
The Challenge They Faced
While the census was designed as a digital initiative, a significant portion of the community consisted of senior citizens and individuals who were not comfortable using online platforms or digital devices. Relying solely on digital forms meant that many people would either struggle to participate or be excluded from the process altogether.
This wasn't simply a technology challenge, it was an accessibility challenge. Excluding these groups would lead to incomplete data, making it difficult for the organization to build an accurate understanding of its community and ultimately limiting the impact of the census itself.
"The goal was simple: make sure more people could participate. Not just those who were comfortable online."
How the Genetech Team Approached It
Before building anything, the Genetech team spent time understanding the full picture, not just the technical requirements, but the experience of the people filling in the forms. The team worked through:
- The structure and complexity of the questionnaire, including conditional fields that appeared only based on earlier answers
- Signup requirements that varied depending on the member’s profile and community group
- Dynamic response fields that needed to be handled consistently across both digital and paper-based submissions
- The practical limitations of end users, including elderly participants who would be filling in physical forms by hand
- How to keep the system straightforward enough that staff handling scans would not need technical training to operate it
The solution did not replace paper. It worked alongside it.
Physical forms were distributed to community members who needed them. Once completed, the forms were scanned and processed through the OCR workflow. The system extracted the information and structured it directly into The Global Census’s database removing the need for manual data entry while keeping paper as a valid and accessible way to participate.
The operational burden was taken off the people doing the work. The experience for the person filling in the form stayed exactly the same.

Results for The Global Census
Our client has already integrated OCR-enabled workflows into its census operations and is actively planning broader adoption. As community gatherings, including religious and traditional events, bring members together in large numbers, the organisation intends to use these moments to increase census participation through on-the-spot scanning of paper forms.
Rather than depending on members to complete forms online after an event, staff can collect physical submissions during the gathering and process them through OCR immediately. This approach is expected to significantly increase participation rates, particularly among communities where digital engagement is lower.
Broader Operational Impact
Beyond this project, Genetech’s OCR system has delivered consistent, measurable gains across multiple implementations and document types. The figures below are drawn from Genetech’s own pilot deployments and internal testing, and are consistent with independently published industry benchmarks.
85–90%
Field Extraction Accuracy
across structured and semi-structured documents (Genetech internal testing)
Under 2 min
Average Processing Time
per form, down from 15–20 minutes (Genetech pilot results; industry benchmark: 12–15 min manually)
Up to 70%
Reduction in Manual Review Effort
(Genetech pilots; industry data: 70–80% labour reduction reported across automation deployments)
4×
Processing Throughput Increase
across high-volume workflows (Genetech pilots; consistent with industry-reported 4x speed gains)
~40%
Reduction in Operational Costs
through automation (Genetech pilots; industry benchmark: 60–80% cost-per-document reduction)
Up to 80%
Reduction in overall Manual Document Processing Effort
(Genetech pilots)
These results are from Genetech’s own implementations. Where comparable, they sit at the conservative end of what industry research reports, which means they reflect what clients have actually seen, not what the best-case scenario promises.

Where This Is Going
OCR is step one. The roadmap from here is about making document intelligence do more of the thinking.
Automated Triggers
Extracted data kicks off the next workflow step instantly, with no human prompt required
Operational Analytics
Live dashboards showing processing volumes, accuracy rates, and bottlenecks across your document workflows
The goal is a system that does not just read documents. It acts on them.

Your documents should work for you. Not the other way around.
Most OCR tools extract text and stop there. Genetech builds the full pipeline from document intake to where the data actually needs to land. We handle the complexity so your team does not have to..
- Full integration, not just extraction — data lands in your systems automatically
- Works with any document — handwritten, printed, structured, or scanned
- Built around your users — including those who are not going digital
- Scales with you — from a few hundred forms to hundreds of thousands
The Global Census did not just get a document scanner. They got a solution that made their census more inclusive, their team’s workload lighter, and their data more complete. That is what every Genetech implementation is built to do.
Let’s talk about what that looks like for you.
